Effective Date: 6th October 2025
This Privacy Policy describes how the Spam Email Checker (“the Service”) processes the information contained within the emails you submit for analysis. By using the Service, you agree to the collection and use of information in accordance with this policy.
1. Information We Process
The Service is designed to analyse the content of .eml files that you upload. The information processed includes, but is not limited to:
- Email Headers: “From”, “To”, “Subject”, and other metadata.
- Email Body: The full plain text and HTML content of the email.
- Attachments: Any files attached to the email.
- Embedded Content: URLs, images, and other resources linked or embedded within the email body.
We do not require you to create an account or provide any personal information about yourself to use the Service. The focus of our processing is solely on the data contained within the submitted email file.
2. How We Use the Information
The data from the submitted email is used exclusively to perform a security analysis and generate a report on its potential risks. This process involves sharing specific pieces of information with third-party services to carry out specialised checks.
3. Third-Party Data Sharing
To provide a comprehensive analysis, the Service sends parts of the email data to the following third-party services:
- Google Gemini AI: The full text, HTML content, and any attached or embedded images may be sent to Google’s Gemini API. This is used to analyse the email’s language, identify the claimed sender, summarise its purpose, and assess its realism.
- Google Custom Search API: Information extracted from the email, such as identified company names, sender domains, and phone numbers, may be used as search queries with the Google Custom Search API to verify their authenticity.
- urlscan.io: All URLs found within the email body are submitted to the urlscan.io service to check for malicious content or phishing activity. These submissions are marked as “unlisted” but may still be publicly accessible via the urlscan.io platform.
We do not control the privacy practices of these third-party services. We recommend you review their respective privacy policies for further information.
4. Data Retention and Security
To perform the analysis, your submitted .eml file and its contents are temporarily stored on our servers. We immediately remove this data from our servers after the email has been fully processed.
We implement reasonable security measures to protect the data during processing, but please be aware that no method of transmission over the Internet or electronic storage is 100% secure.
5. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes.
